Privacy Policy

Effective 25 July 2026. What Gerefa collects, why we collect it, and who can see it.

1. The short version

  • We collect what we need to run the service, and not much else.
  • There is no advertising, no analytics, and no third-party tracking in Gerefa—no pixels, no ad SDKs, no behavioural profiling.
  • We do not sell or rent your personal information.
  • Your records are visible to the people in your household, and—unless you explicitly grant support access—to nobody else.
  • You can export everything, and you can delete your account.

2. What we collect

Account

Your email address is the only sign-in identifier—there is no password, because we send you a sign-in link instead. You may also add a first and last name, a display name, a profile photo, and preferences such as time zone, date format, units, and theme.

Households and properties

Household name and settings; and for each property, the details you enter—including its full street address, city, region, postal code, and country, plus characteristics such as year built, size, number of floors, foundation, heating and cooling type, water and wastewater type, and whether it has a pool, irrigation, fireplace, or generator. Your postal code is also used to estimate a climate zone; this is a lookup against a table inside our own database, not a call to an outside service.

Home records

Whatever you choose to record: assets and equipment (including manufacturer, model, serial numbers, purchase price, and warranty dates), areas, materials and supplies, tasks and their completion history, projects, issues, service records (including costs), notes, tags, and custom fields.

Files you upload

Documents such as manuals, warranties, and receipts, plus photos of properties, assets, and profile and household avatars. Files are stored privately and served through short-lived signed links.

Information about other people

If you record a contractor, you are storing someone else's details—name, company, phone, email, address, licence number, and your notes about them. You choose to enter this, and you are responsible for having the right to.

Device setup codes

You can store smart-home setup codes. These are encrypted before they are stored; the plaintext is never written to our database and we cannot read it. We also keep a record of when a code was revealed and by whom—never the code itself.

Feedback you send

If you use the in-app feedback button we receive your message and, to help us reproduce the problem, the page you were on, your browser's user-agent string, your window size, and the app version—plus a screenshot only if you attach one.

Activity records

We record actions taken in a household—who changed what and when—so owners can review their own household's activity, and so we have an audit trail for security-relevant events such as revealing a stored code or granting support access.

What we do not collect: Gerefadoes not log your IP address, does not fingerprint your device, and has no analytics or advertising code of any kind. Our hosting and email providers keep their own infrastructure logs, which may include IP addresses, as any web service's do.

3. Cookies and local storage

We use a small number of first-party cookies and no third-party cookies:

  • Sign-in cookies, which keep you authenticated. Strictly necessary—the service cannot work without them.
  • A sidebar preference cookie remembering whether you collapsed the navigation.
  • Your browser's local storage holds your light/dark theme choice on that device.

None of these track you across sites, and we set no advertising or analytics cookies.

4. How we use your information

  • To provide the service: storing your records and showing them to you and your household.
  • To send transactional email: sign-in links, invitations, reminders and digests you have enabled, and security codes.
  • To suggest starter maintenance appropriate to your climate zone.
  • To secure the service: authentication, rate limiting, and audit trails.
  • To support you when you ask, and to act on feedback you send.
  • To meet legal obligations.

We do not use your household records to advertise to you, and we do not use them to train AI models.

5. Email you receive

Sign-in links, invitations, and security codes are transactional and cannot be turned off while you have an account. Task reminders and digests are optional and can be changed or switched off in your notification settings.

6. AI features

Gerefa's AI features are optional. Information is sent to our AI provider, Anthropic, only when you actually use one:

  • Capture—the photo you upload, plus any hint you type, so details can be suggested from it.
  • Ask—your question, and then only those of your household's records that answering it requires, fetched under your own permissions. Restricted properties stay restricted.

Stored device setup codes are never sent to the AI provider. There is deliberately no way for the AI to read them: they are excluded from search, no tool can retrieve or decrypt one, and this is enforced by automated tests.

AI suggestions are never written to your records automatically—you review and confirm them. We keep counts and costs of AI usage for billing and limits; that record contains no prompt text or record content.

Your AI settings control what may be sent. Each switch changes what actually leaves Gerefa—we do not offer a control we cannot honour:

  • Image processing—off disables Capture entirely; no photo is sent.
  • Document processing—off leaves your documents out of the records Ask can retrieve.
  • Conversation history—off stops previous turns being included with your next question.
  • Property address—off removes address fields from the records we send, and removes your properties' street address and postal code where they appear in the text of a record. It cannot catch a location you described some other way in your own notes.
  • Sensitive device metadata—off removes smart-device details (MAC address, Wi-Fi network, Matter identifiers) from what we send.

These settings are per person, per household, and apply to requests made after you save them. Anthropic processes this data as our service provider under its agreement with us; its own retention practices apply, and we do not currently make any additional zero-retention or no-training arrangement on your behalf. There is no per-request setting any provider offers us for that, so we do not pretend to give you one. If you would rather no data ever reached an AI provider, do not use the Capture or Ask features.

7. Who can see your information

Your household

The people in your household can see its records, according to their role. Properties marked restricted are visible only to owners, co-owners, and people explicitly granted access. Members can see each other's display names and profile photos; member email addresses are not exposed to other members.

Gerefa support—only if you invite us in

Our staff cannotread your household's records by default. A household owner—not a co-owner, and not us—can grant support access from their own settings. That access is read-only, expires automatically after 24 hours, can be revoked at any time, cannot reveal stored setup codes, cannot see restricted properties, and is recorded in your household's own activity log.

Gerefa administration

To operate the service, our administrators can see account-level information without entering your data: household names, owner email addresses, counts (of members, properties, assets, documents), storage used, AI spend, and lifecycle dates. They cannot see the contents of records—not a document title, not an asset name, not a property address. Administrators can also read feedback submitted through the in-app feedback button, including any screenshot you attach.

Legal and safety

We may disclose information if legally required, or where necessary to protect the rights, property, or safety of users, the public, or Honeycutt Inc..

8. Service providers

We rely on four providers, all in the United States:

Supabase

Database, authentication, and file storage.

Vercel

Application hosting and scheduled jobs.

Resend

Delivery of transactional email.

Anthropic

AI processing, only when you use an AI feature (section 6).

They process data on our instructions to provide these functions. We do not sell or rent personal information, and we do not share it for advertising.

9. Security

Data is encrypted in transit. Every database query is constrained by row-level security so one household cannot read another's records. Uploaded files are private and reachable only through short-lived signed links.

Stored device setup codes are encrypted with AES-256-GCM using a key held only in our server environment—never in the database and never in your browser. Revealing one requires an owner or co-owner plus recent re-authentication, is rate-limited, and is logged. Our server logs are scrubbed of email addresses and digit sequences.

No service can promise perfect security, and we do not. If a breach affects you we will notify you as the law requires.

10. Keeping and deleting information

While your account is open

We keep your records so the service works. Activity and audit records are kept for as long as the household exists; we do not currently expire them on a fixed schedule.

Deleting your account

A deletion request starts a 30-day period during which you can cancel simply by signing in. After it elapses, your account and personal data are removed the next time the request is processed. If you are the sole owner of a household you must first transfer or delete it.

Deleting a household

An owner can request deletion; the household is purged after a 30-day window by a daily job.

Uploads that were never attached

Files uploaded but never saved to a record are cleaned up automatically after about a day.

Records we keep afterwards

Our administrative log—which records actions our staff took, such as a suspension or a purge, and why—is deliberately kept after the thing it describes is deleted, so there is a durable account of what was done. It contains identifiers and reasons, not your household's contents. We may also retain information where we are legally required to, including under a legal hold, which pauses deletion.

11. Your choices and rights

Export

You can export your data at any time from your settings, as machine-readable files. An export covers your properties, areas, assets, contractors, materials and supplies, tasks, projects, issues, service records, tags, and your document metadata. It excludes stored setup codes—by design, an export must never carry credential material—and does not include the uploaded files themselves, which you can download from the app.

Correction and deletion

You can edit or delete individual records in the app, and delete your account from your settings (section 10).

Communication preferences

Manage reminders and digests in your notification settings.

Statutory rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to appeal a refusal. We honour these regardless of where you live—most are self-service above, and you can reach us at gerefa@honeycutt.com. We will not discriminate against you for exercising them. We do not sell or share personal information as those terms are used in US state privacy laws.

12. Children

Gerefa is not directed to children and is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

13. Where your information is processed

Gerefa is operated from the United States and your information is stored and processed there. If you use the service from elsewhere, you are sending your information to the United States, where privacy laws may differ from those where you live.

14. Changes to this policy

We may update this policy. If a change is material we will give reasonable notice before it takes effect. The effective date is shown at the top of this page.
